IBD Benchmarking FAQs

1. What am I committing to by registering?

By registering, you will receive further emails and guidance from the IBD UK Benchmarking Team about how to prepare for the self-assessment which will be live from 1st October.

Your service will also show as registered on the Services Map on the IBD UK website, demonstrating your commitment to quality improvement and working towards the IBD Standards.

2. How much time is involved in doing this?

This depends in part on the preparation that the team puts into it, but you should ideally plan for a two- to three-hour multidisciplinary meeting with additional time for advance preparation and follow-up activity.

3. How does the self-assessment work?

The self-assessment is effectively a simple online questionnaire, based on the IBDQIP tool used for the IBD Organisational Audit. You will be asked questions about a wide range of aspects of service delivery relating to the new IBD Standards, with online guidance and prompts to help with this. You do not have to complete it all in one go. Like the IBD Standards, it follows a patient journey structure, and you can complete sections in whichever order you like.

4. Will we we be able to view our results straight away?

As this is a tool for benchmarking, the data will be released for all participating services to view on a given date after the process has closed on 31st January 2020.

You will be able to view your self-assessment results as a visual dashboard of A-D grades across 4 main areas of Access, Coordinated Care, Patient Empowerment and Quality and to compare these with your patient survey results and UK-wide and devolved-nation averages. More detailed individual service data will also be available. The benchmarking process should highlight positive changes that can be incorporated into service planning straight away.

5. Who should register?

This could be the IBD service lead, IBD nurse specialist or service manager. Only one person from each service can register, but we do ask for secondary contact details in case that person moves on or is not available at key points. All members of the IBD team and ideally patients too, should be involved in the process.

6. We provide a joint service with one or more hospitals in our area - do we both need to register?

Only one person should register per service if this is managed across a number of sites. You will need to liaise with colleagues on the other sites to prepare for and complete the assessment.

7. We provide shared care for children and young people across paediatric and adult services - do we both need to register?

Yes, adult and paediatric services should register and complete the process separately.

8. When should we plan the self-assessment meeting?

The IBD Benchmarking Tool will be open for completion from 1st October, so it is advisable to get a date in the diary now for a meeting soon after that date with the whole IBD team, plus patients if possible.

You will be able to continue to add data until it closes on 31st January 2020, but if you register now, you will have plenty of preparation time, so you can get started and avoid any last-minute rushes.

9. Who will have access to the data?

Data entered by services into the IBD Benchmarking Tool will be stored in the IBD UK website CMS (content management system).

On behalf of IBD UK, Crohn’s & Colitis UK is responsible for the IBD UK website, IBD Patient Survey and IBD Benchmarking Tool and these digital elements of IBD UK are therefore subject to Crohn’s & Colitis UK’s privacy policy and data protection policy.

The visual dashboard showing A-D grades will only be accessible to you, through the tool, although you can download the pdf and share this as you like, for example, with managers and commissioners to support business cases.

Data based on selected indicators, e.g. number of IBD Nurse Specialists, referral for specialist assessment within 4 weeks, will be shared publicly for all participating services, as will the patient survey data. By participating, you will have the opportunity to view your results and to offer commentary before it is made public.

The intention of this work is to support positive quality improvement and enable services to make the case for additional resources where required.

10. How does the IBD Benchmarking Tool fit in with the IBD Audit?

The IBD Benchmarking Tool, encompassing both the IBD Patient Survey and Service Self-Assessment, designed to capture performance against the 2019 IBD Standards on a biennial basis. The IBD Biologics Audit is an ongoing clinical audit of the use of biological treatments in clinic, tracked by the IBD Registry, with quarterly and annual updates. Both are based on the former IBD Organisational and Biological Therapies Audits led by the Royal College of Physicians and are complementary. Clinical teams are encouraged to participate in these two complementary workstreams going forward.

11. Are IBD Benchmarking results part of Quality Accounts in England?

Yes. IBD Service Standards and the IBD Biologics Audit are listed jointly on Quality Accounts for 2019-2020 under the project Inflammatory Bowel Disease Audit.

12. Who do I contact if I have any problems, queries or feedback in relation to the IBD Benchmarking Tool or process?

13. What do we need to do about the IBD Patient Survey?

The IBD Patient Survey is open from 8th July to Friday 22 November 2019 and is an important opportunity to encourage your patients to share their experience of care. Look out for flyers being distributed to your service and signpost them to the IBD UK website for the online survey. Hard copies and translations are also available on request.
